What We Are Looking For:
​
We are looking for a personable, highly motivated, and detail-oriented person to provide administrative and coordination support for the Audio-Visual (AV) department, ensuring projects are set up, tracked, and delivered efficiently.
​
Primary Objectives & Responsibilities:
​

Manages system updates, billing workflows, project documentation, and communication follow-ups to keep jobs moving forward

Supports project managers to ensure project progress and billing milestones are tracked accurately

Proactively follow up on completed services, address any concerns, and ensure a high level of client satisfaction

Ensures timely invoicing, and delivers a seamless client experience

Works with Operations Manager to support project delivery, reporting, and coordination

Captures service call data, parts usage, and job progress

Works with suppliers to coordinate product orders, cut sheets, and submittals under direction

Prepares spreadsheets, project progress updates, and accurate billing documentation

Maintains accurate information across platforms

Other administrative tasks as required.

Experience and/or Abilities Required:
​

Excellent verbal and written communication skills
-
Highly organized, analytical, and self-motivated
-
Knowledge of project management and workflow software
-
Minimum 1 year of invoicing experience

PLUS if you have Advanced Excel skills.

Hours and Compensation:
​
Full-time, in-office (this is not a remote position)
Hourly / $22 to $27 / depending on experience
